This article walks through everything you need to know: downloading the app, recording audio, finding your transcripts, and managing your recordings.
Getting the app
The HappyScribe app is available on iOS and Android.
iOS: Search "HappyScribe" in the App Store or download it here.
Android: Search "HappyScribe" in the Google Play Store or download it here.
Once installed, sign in with your existing HappyScribe account. If you belong to multiple organizations, you can switch between them from the Account tab.
If you're running an older version of the app, you may see a prompt asking you to upgrade. Follow the prompt to update from the App Store or Google Play. Some features may not work correctly on older versions.
Your first recording
Tap the record button to start. You'll see a live waveform and a running timer so you know the audio is coming through clearly.
While recording, you can select the language being spoken, which improves transcription accuracy. You can also change the language at any point during the recording.
If you start a recording from a calendar meeting in the Home tab, it will automatically be linked to that meeting and use the meeting name. See Calendar integration below.
Pausing and resuming
Tap pause at any point and resume when you're ready. The timer keeps an accurate count of your total recorded time, not the wall-clock time.
Stopping and saving
When you tap stop, the app asks you to confirm the name for your recording before it uploads. If you decide you don't need the recording, you can discard it here without it being sent to your account.
Permissions the app needs
iOS
The app asks for access to your microphone. This is the only permission required.
Android
The app asks for two permissions:
Microphone: records your audio.
Notifications: keeps recording running in the background when you switch apps.
Both permissions are required. If either is declined, the app won't be able to record.
If you accidentally deny either permission, go to your phone's Settings, find HappyScribe, and turn them on from there.
Recording in the background
The app keeps recording if you switch to another app, take a call, or lock your screen. On Android, you'll see a persistent notification showing the recording is active. You can return to the app at any time to pause or stop.
Once you stop, the app uploads the file to your account automatically. If you don't have an internet connection, it will retry when you're back online.
Viewing your recordings
Open the Recordings tab to see everything you've captured. Recordings are sorted by date, with the most recent at the top. You can pull down to refresh the list or use the search bar to find something by keyword.
Tap any recording to open it. If the transcript is ready, you'll see:
The full transcript with speaker labels
A timestamp next to each paragraph
An audio player at the bottom
Tap any line of the transcript to jump to that point in the audio. The transcript scrolls automatically as the audio plays, so you can follow along without touching the screen.
Managing your recordings
Swipe left on any recording in the list to delete it. You can also tap the menu button (three dots) on a recording to:
Rename it: update the name at any point.
Retranscribe: run transcription again, useful if you want to change the language.
Save to device: if a recording has failed to upload, this saves the audio file directly to your phone's Files app so it's not lost.
Move to trash: removes it from your account.
Calendar integration
The Home tab shows your upcoming calendar meetings. Tap a meeting to start a recording that's automatically linked to it and uses the meeting name.
Note: this option is only available for meetings where the Happy Scribe notetaker has not been sent.
Recordings linked to calendar events show the meeting name, which makes them easier to find later.
Switching organizations
If your HappyScribe account is part of more than one organization, open the Account tab to switch between them. Recordings are tied to the organization that was active when you recorded them.
Troubleshooting
The recording stopped when I switched apps (Android)
This usually means the notifications permission is off. Go to Settings > Apps > HappyScribe > Notifications and make sure it's enabled.
The recording didn't upload
If you were offline when you stopped recording, the app will retry automatically when you're back online. Open the Recordings tab and look for a recording marked as "uploading" or "failed". If it's stuck, tap the menu button and choose to retry.
If a recording is still not uploading, you can save a local copy to your device by tapping the menu button (three dots) and selecting Save to device. This lets you access the audio file through your phone's Files app so it's not lost.
My transcript isn't showing yet
Transcription usually takes a minute or two after the upload finishes. Pull down to refresh the Recordings tab. If the recording has been sitting for more than 10 minutes without a transcript, contact our support team.
The app is asking for permissions again
If you previously denied a permission and the app is asking again, it means a feature that needs it was triggered. Go to your device's Settings to grant access manually.
Something seems broken or the app is behaving unexpectedly
Try fully closing the app and reopening it. A full restart clears any corrupted data, retries any pending uploads, and recovers any recording that was interrupted by a crash. This fixes the majority of common issues.
If a full restart doesn't help, try logging out and back in. Go to the Account tab and tap Sign out. When you sign back in, your data will reload fresh from the server.
Important: if you have recordings that haven't uploaded yet, make sure to log back in with the same account and organization. Otherwise those recordings won't be accessible.
Checking your app version
You can see which version of the app you're running from the Account tab. If you're contacting support about an issue, it's helpful to have this information ready.
