Export, share and edit transcripts from Claude or ChatGPT

Ask Claude or ChatGPT to export your transcripts, share them with teammates, fix names in one go, manage glossaries and set up meeting summary templates.

Written by Simon

Once a transcript is in HappyScribe, you can export it, share it, fix words and names, manage glossaries and set up meeting summary templates, all by asking Claude or ChatGPT. This article covers each one, with prompts you can copy.

If you haven't connected HappyScribe to your AI assistant yet, start with What is HappyScribe MCP.

Export a transcript

Ask your assistant to export one or more transcripts. It replies with a download link.

Example: "Export my last interview as a Word document with speaker names and timestamps every 30 seconds."

Formats and options

  • Documents: TXT, Markdown, Word (DOCX), PDF, HTML

  • Subtitles: SRT, VTT

  • Data and spreadsheets: JSON, CSV, Excel (XLSX)

  • Options: speaker names (on by default), timestamps (per paragraph, or every 10, 30 or 60 seconds), editor comments and highlights

Good to know

  • Several files at once: export up to 20 transcripts in one go. They arrive as a single zip file.

  • Links expire after 24 hours: download the file soon, or ask for a new link later.

  • Formats follow your plan: the same formats are available as when you export from HappyScribe. If a format isn't in your plan, your assistant tells you which ones are.

  • Not available from the chat: exporting summaries and translating transcripts.

For exporting from the HappyScribe app, see How can I export my transcript from the Editor?

Share a transcript

You can invite people by email or turn on a public link.

  • Invite by email: invite up to 10 people at a time, with view or edit rights. They get an email from HappyScribe. "Share my Q3 planning meeting with sarah@company.com, view only."

  • Public link: set it to view only, editable, or off. Anyone with the link can open the file. "Turn on a view-only link for this transcript."

Your assistant confirms the email addresses and rights with you before sending invites. Admin rights can't be granted from the chat.

You can also combine search and sharing: "Find every meeting where we talked about customer experience and share them with sarah@company.com, view only."

Fix several words or names in one go

If a name or term is misspelled throughout a transcript, ask your assistant to fix all of them at once.

Example: "In my last interview, replace 'Happy Scribe' with 'HappyScribe' and 'Jon' with 'John'."

  • Up to 50 fixes per request, applied in the order you give them.

  • Exact match: matching is case-sensitive, so "jon" and "Jon" are different.

  • One version: all fixes are saved together as one new version of the transcript.

  • Nothing to fix: if a word isn't found, your assistant tells you and skips it.

You can also limit fixes to part of the recording, for example "only between minute 5 and minute 10".

Create and edit glossaries

Glossaries help HappyScribe spell names, brands and jargon correctly in every transcript. You can manage them from the chat.

  • Create one: "Create a HappyScribe glossary called Product names with these terms: ..."

  • Build one from your files: "Look through my last 10 customer calls, list the product and company names that come up, and add them to a new glossary."

  • Edit one: add, rename or remove terms, change languages, or add context notes and translations.

  • Make it the default: "Apply this glossary to every new file in my workspace." This applies to your teammates' files too.

  • Use it: name the glossary when you transcribe a file, or when you ask to transcribe an existing file again.

Additional glossaries are a paid feature, and most plans allow one translation language per glossary. See Glossaries 101 for details.

Set up meeting summary templates

Summary templates decide which sections your meeting summaries include. You can create them, pick one per meeting, and regenerate a summary with a different template.

Create a template

Describe the sections you want. Each section becomes a heading in your summaries.

  • "Make a BANT template (Budget, Authority, Need, Timeline) for my discovery calls."

  • "Make a template for my 1:1s: wins, blockers, feedback given using SBI (Situation, Behavior, Impact), next steps."

Templates are private by default. Ask to share a template with your workspace if your teammates should use it too.

Choose which template a meeting uses

  • For one meeting or a recurring series: "Use my BANT template for my Thursday discovery calls."

  • As your default: "Use my 1:1 template for all my future meetings."

Regenerate a summary

"Regenerate the summary of yesterday's sales call with my BANT template." The new summary takes a moment to appear.

Summaries are available for meetings recorded by the HappyScribe Notetaker, not for uploaded files. You need edit access to the file. Learn more in AI Notetaker 101.

Troubleshooting

My export link doesn't work anymore

Links from the chat expire after 24 hours. Ask your assistant to export the file again.

My assistant says a format isn't available

That format isn't included in your plan. Your assistant lists the formats you can use, or you can upgrade from your HappyScribe account.

Some of my fixes weren't applied

Matching is exact and case-sensitive. Check the spelling and capitalization of the word you asked to replace, then try again.

I can't regenerate a summary

Summaries only exist for Notetaker meetings, and you need edit access to the file. Uploaded files and view-only files can't be summarized from the chat.

Frequently asked questions

Are custom summary templates free?

Custom templates are available on the Pro plan and above. See Plans and pricing.

Can I export a summary or translate a transcript from the chat?

No. You can do both from the HappyScribe app.

Can I undo a batch of fixes?

Yes. All fixes from one request are saved as one version, so you can restore the version from before the fixes in the Editor. See Restoring past versions of your transcript file.

What happens when I ask for something HappyScribe can't do yet?

Your assistant can send the HappyScribe team a short, general description of what you wanted, without names or email addresses, so we know what to build next.
